NWLCCN uses the Moodle learning environment as part of its teaching provision for students and clinical staff specifically to support Transfer Training. Those using NWLCCN Moodle are expected to be familiar with and abide by the regulations and policies outlined on this page.

We respect your privacy and are committed to protecting your personal data
This privacy notice sets out details of the data that we may collect from you and how we may use that information.
This privacy notice also tells you about your privacy rights and how the law protects you. We have a legal duty under the Data Protection Act 2018 (“DPA 2018”) and General Data Protection Regulation (Regulation EU 2016/679) ("the GDPR") to handle your information in certain ways

NWLCCN captures certain information on each user as part of
the registration process. This data enables the creation of an accurate user
profile, which is necessary for reporting purposes and to offer users learning
that is relevant to their needs. The data that is stored is limited to information relating to users’ work, such as their job role, place of work or
membership number for a professional body (e.g. Nursing Midwifery Council or
General Medical Council number). We will never ask for your home address or any
other domestic information.
When accessing the NWLCCN Moodle site, you may be asked to set up some security questions, which may contain personal information. These questions are solely intended to enable users to log in if they forget their password and will never be used for any other purpose. The answers that users submit when setting up these security questions are encrypted in the database so that no-one can view what has been entered, not even NWLCCN administrators.
NWLCCN also store a record of all learning activity.

The Moodle instance used by NWLCCN is maintained and managed by NWLCCN in the UK on our own web
servers hosted by Berkshire Healthcare NHS Foundation Trust.

applies to personal data provided to us, both by individuals themselves or by third

Personal data that we keep about you:
As part of its operation, Moodle logs user activity. We will gather the following data via these logs:
· User ID
· Moodle Course ID
· Time stamp of activity
· Action type
· Moodle object the action was on e.g. Quiz
From these logs Moodle generates a number of reports that are accessible to the administrators on each Moodle course. Moodle reports enable course administrators to monitor activity in the course and to see what resources in the course are or are not being accessed. These may be used by course teams to support your teaching and learning.
Who we share your data with:
As part of the NWL CCN agreement – line managers who want to know which of their staff have completed the course will have confirmation that the individual has attended and passed. These staff will be known to their line manager and in some instances will have been booked onto the course and been given time in their rota to attend.
Your personal data will not be shared wider – aggregated reports across the network of the number of staff, their roles and from which departments / hospitals they derive from will be generated but will be anonymised as to the individual’s details.
Confirmation of attendance and completing the course ensures the CPD associated with this course is awarded accordingly.
For students:
Students will be enrolled with individually or by a course tutor from organisations such as UWL and Deaneries, however the same rules apply regards access to data. Reports by organisation will be shared but anonymised.
Feedback from assessments will be provided to students individually.
All data collected and processed by Moodle is done so in accordance with the NWLCCN privacy
Policy.
For staff facilitating courses:
Moodle reports enables NWLCCN to monitor activity in the course and to see what resources in the course are or are not being accessed. These may be used by the Network Transfer Faculty to support teaching and learning but will be anonymised.
Data security:
We have put in place appropriate security measures to prevent your personal data from
being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. We
have established procedures to deal with any suspected personal data breach and will notify
you and any applicable regulator of a breach where we are legally required to do so.
Data retention:
We will only retain your personal data for as long as necessary to fulfil the purposes we
collected it for, including for the purposes of satisfying any legal, accounting, or reporting
requirements. It will also be retained within the system to enable staff moving between organisations to demonstrate completion of the course requirements or when they attend refresher sessions.
Your rights:
Under certain circumstances, you may have the following rights under data protection laws
in relation to your personal data:
• Right to request access to your personal data;
• Right to request correction of your personal data;
• Right to request erasure of your personal data;
• Right to object to processing of your personal data;
• Right to request restriction of the processing your personal data;
• Right to request the transfer of your personal data; and
• Right to withdraw consent. Please note that if you withdraw your consent then at this point you will not be able to demonstrate completion of the training.
